A useful starting point.
Weekly Capacity Planner turns supplied working windows, appointments, breaks, estimates and deadlines into a reviewable allocation. It answers a capacity question before producing task blocks: how much flexible time remains, and how much requested work cannot fit? A due date is not an effort estimate, and “ASAP” is not a confirmed hard deadline. Missing windows or estimates require clarification rather than an invented nine-to-five week. A useful input names the actual week and time zone, each available window, overlapping fixed commitments, protected non-working time, task duration ranges, dependencies and energy constraints. Appointments that overlap must be counted as the union of occupied time and flagged for human resolution. Avoid subtracting the same appointment twice or treating evenings and weekends as automatically available. Unknown effort stays unallocated until a person supplies a credible estimate. For the bounded Monday example, 09:00–13:00 gives 240 minutes. A 60-minute fixed call and 15-minute break leave 165 minutes for 210 minutes of tasks: a 45-minute shortfall. The actual normal host observation preserves the report deadline and morning window, splits the report around the call and proposes partial invoice work. Those splits are assumptions for a person to accept; they are not evidence that fragmented work is useful or that anyone accepted a commitment. The normal observation labels a zero-minute buffer. That makes the arithmetic visible but leaves no contingency for overruns. Before using a draft, reserve realistic slack or explicitly decide which work to defer, reduce or renegotiate. A mathematically feasible block schedule does not measure attention, guarantee completion or settle a conflicting appointment. Host controls may offer “confirm” or “revise” presentations; those controls do not give this instructions-only package calendar access. Use task aliases and generalized appointments, remove meeting links and unnecessary private details, and check provider data controls and organizational rules before supplying a schedule. Does this connect to my calendar?
No. It reads only supplied text and has no calendar connector, live availability, event creation, reminder or recurring execution. Every allocation is a draft for separate human action.
Why does the sample leave 45 minutes unallocated?
The morning has 240 gross minutes, minus a 60-minute call and 15-minute break, leaving 165 task minutes. The supplied estimates total 210 minutes. The 45-minute difference must remain visible until you defer, reduce or renegotiate work.
Can it assume a task is safe to split?
A split may be proposed but must remain an assumption. In the normal observation the report is divided around a fixed call and invoice work is partially allocated; a person must confirm that these fragments are useful.
Is a zero-minute buffer acceptable?
It is a disclosed planning choice, not a reliability guarantee. A fully occupied draft has no margin for overruns, transitions or underestimated effort. Reserve slack or revise the requested scope before accepting commitments.
What happens when dates and estimates are missing?
The instructions require clarification rather than a precise invented week. Provide actual dates, time zone, windows, appointments, estimates and deadlines. Unknown effort cannot establish a credible capacity total.
